Privacy Policy
Last updated October 26, 2026
The short version
- ClearSoccer keeps what coaches, clubs and families put in to run a team: rosters, games, lineups and stats.
- We don’t sell personal information, show ads, or use advertising or analytics trackers.
- ClearSoccer is free for coaches, players and families. Clubs that choose the club plan pay through Stripe, and a club can bill its families its own season fees here. Card details go straight to Stripe; we never see or keep card numbers.
- Children don’t have accounts. Information about a child is added by their coach, club or parent.
- Family phone numbers and emails, ratings and coach notes are for the team’s coaches and, when the team is in a club, that club’s admins only.
- Parents can invite family, like grandparents, to follow their child. Followers see the schedule, positions and teammates’ names, never teammates’ photos, stats or contacts. Coaches see how many follow, not who.
- Clubs can run tryouts here. A parent signs their child up; the coaches’ tryout ratings and notes stay with the club and are never shown to families.
- Chat messages are seen only by the people in that chat (for a club’s teams, also the club’s admins). Chat never shows anyone’s email address, and we never use messages for ads or to train AI. Chat notifications are only sent to phones where you turn them on, encrypted so only that phone can read them.
- You can ask us for a copy of your information, or to delete it, at any time: [email protected].
1. Who we are
ClearSoccer (clearsoccer.com) is a lineup, rotation and stats app for youth soccer, run by ClearSoccer (“we”, “us”). This policy explains what information we collect, how we use it, who can see it, and the choices you have. It applies to the ClearSoccer website and the installable app.
2. Who uses ClearSoccer
- Coaches (head coaches, assistants and team managers) run a team’s roster, games, lineups and results.
- Club admins set up a club’s teams and invite their coaches, can bring in teams coaches already run (when the head coach agrees; see Who can see what), can run the club’s tryouts, and can message the club’s families and coaches.
- Tryout coaches are coaches a club puts on one of its tryouts to rate the players.
- Parents and guardians follow their child’s team, say who’s coming, can mark goals and send shout-outs and notes for the coach during a game, and can chat with the team and the club.
- Adult players on adult teams can follow their own team the same way.
- Family followers, such as grandparents, are people a parent, guardian or adult player invites to follow a player. They can only look.
Accounts are for adults. You must be at least 18 to create one. Children do not sign up or use ClearSoccer themselves.
3. What we collect
Information you give us
- Your account: your email address and password (stored only as a secure hash, never in readable form), and, if you add them, your name and photo.
- Teams and clubs: names, season, age group, gender, league, colours, logo, coach name and photo, and who coaches or runs them; a club’s fields (address, picture, hours, condition and closures), the practice times its coaches ask for (with who asked) and the practice schedule it makes.
- Players: name or nickname, jersey number, positions, an optional photo, who came to each game and practice, lineups and playing time, game stats (such as goals, assists, saves and steals), the coach’s ratings and skill stars (including how the coach rated them in each practice drill), and coach notes.
- Family contacts: parents’ or guardians’ names, phone numbers and email addresses, typed in by a coach or imported from a roster file the coach uploads.
- Games and practices: dates, times, fields, opponents, scores, practice plans (the drills, plays, water breaks and other parts of each practice, with their minutes and how long each one ran), the coach’s rating of each practice and drill with a short note for next time, and the calendar or league links a coach connects.
- Practice plays: the plays and drills a coach draws for their team: a name, the steps, where the players, cones, small goals and ball are in each step, a short caption per step, any player names the coach puts on the pieces, and who drew it.
- Drill library: the drills ClearSoccer offers are the same for every team and hold nothing about people.
- Game day: replies to “Are you coming?”, goals marked during a live game with the answers given about them, and moments sent about a player during a live game: shout-outs (such as “Good pass”) and notes for the coach (such as “Looks tired”), with who sent each one and when.
- Chat: the messages you write in a team chat, in a chat with one other person or with a club, the announcements a club sends, and the notes about a club’s fields and practice schedule posted in its teams’ chats; who sent each one and when; how far each person has read in each chat, and which chats they muted.
- Chat notifications: if you turn notifications on for a phone or browser, the address its push service gave it (Apple, Google, Mozilla or Microsoft, depending on the browser), the keys to encrypt notifications for it, which browser it is, and when a notification last reached it. For each chat we also note when we last notified you and when your phone last had the chat open, so you aren’t notified about a chat you’re reading, or every few seconds about a busy one.
- Invites: the email address of anyone a coach, club or parent invites, and who invited them.
- Club requests: when a coach asks a club to add their team, or names a club that isn’t on ClearSoccer yet, which team asked, which club (or the club name the coach typed, which we keep so we can match it when that club signs up), who asked and who answered, and when. A club can also ask a coach by email to bring their team; that is an invite.
- Tryouts: when a club runs a tryout, the player’s name, the positions they like and the team they played for last, and a parent’s or guardian’s name, email and (if given) phone number; check-in times; each coach’s ratings, notes and the club’s picks. See Tryouts.
- Club plan: when a club subscribes, Stripe’s ids for the club’s customer and subscription, the plan’s status, and when the free trial or the paid period ends. Card and billing details go straight to Stripe; we never see or keep card numbers.
- Club fees: when a club bills its families a fee, the fee (its name, amount, due dates and note) and, for each player billed, the player’s name, team, amount, any discount with its reason, and every payment toward it: the amount, the day, how it was paid (online, cash, check or other), any note the club adds (such as a check number), refunds, the email address the payer gave Stripe, who paid or recorded it, Stripe’s ids for the payment, and when the family was last reminded. If the club takes payments online, Stripe’s id for the club’s account and whether Stripe lets it take payments and pay out. Card and bank details go straight to Stripe; we never see or keep them.
- Club website: what a club’s admins put on the club’s public website: its web address, a tagline, an announcement, “About us”, the club’s story and photos, sponsors (names, links and logos), the club’s contact details and social links, which of its teams the website shows, and the club’s events (what, when, where, who it’s for, details, a picture and a link), with which admin last changed it.
We don’t ask for, and our roster import doesn’t keep, players’ birthdates, home addresses or school. Please don’t put sensitive details such as medical information in notes.
Information collected automatically
- Sign-in records: when someone signs in, or tries to, we record the time, the IP address and the browser it came from, to protect accounts and block repeated guessing.
- Server logs: our servers log requests (such as the IP address, page and time) to keep the service running and secure.
- Cookies: we use only the cookies ClearSoccer needs to work: one that keeps you signed in during a visit, one that keeps you signed in for up to 30 days if you tick “Keep me signed in”, and one that remembers a display choice on the results screen. We don’t use advertising or analytics cookies.
- On your phone: so ClearSoccer works at a field with poor signal, your browser saves copies of pages you’ve opened (never chats, so a deleted message doesn’t come back), the game clock, the practice clock, and goals, shout-outs, notes, practice ratings and attendance you’ve marked, messages you’ve written and changes to plays until they reach us, and changes to a practice plan you haven’t saved yet (until you close that tab). These stay on your device. On a shared phone, sign out when you’re done: signing out also clears the messages still waiting to be sent, unsent drafts, practice ratings still waiting to be sent, practice plan changes not saved yet and the plays this phone keeps, and turns chat notifications off on that phone.
- Free tools without an account: the free lineup maker and tactics board keep what you type (players’ names, the game, the rotation, your play) in your browser on your device, not on our servers. To work out a rotation, the lineup maker sends us only the format and numbered players, never names, and we don’t keep it. If you tap Save, we keep what you saved (in the lineup maker: the players’ names and numbers you typed, the game and the rotation; on the tactics board: the play) with the email address you give, under a code. We send the code to that email and use the address for nothing else, except to resend your codes when you ask. Anyone with the code can open the save, so share it only with people you trust. If you then create an account, ClearSoccer offers to bring your work into your team, and you can add a save to your account with its code. Signing out clears the free tools’ work from that device.
Information from other sources
- When a coach connects a team calendar (such as TeamSnap, GameChanger or Google Calendar) or a league site, we read the team’s game and practice schedule from that link.
- When a coach imports a roster file exported from another app, we read it to add players and family contacts. The file itself is not kept; its rows wait at most two hours for the coach to check them.
4. How we use information
- To run ClearSoccer: build lineups and rotations, keep the schedule up to date, show stats and lineup suggestions to a team’s coaches, and run the live game.
- To send emails you ask for or expect, such as invites, sign-in codes, and a club’s emails about a tryout you signed your child up for.
- To deliver chat messages: show them to the people in the chat, count the ones you haven’t read, when a club chooses to, email its announcement to each person it goes to, at the email they sign in with, and, if you turned notifications on, tell your phone about new messages and announcements. A notification shows the chat or the sender’s name (never an email address) and the start of the message.
- To tell a club’s teams about their fields: when a club closes one of its fields, adds a closure that lands on a team’s practices or home games, moves or cancels a practice, or publishes its practice schedule, a short note about it (the field, the dates and times, and the reason the club gave) is posted in each affected team’s chat in the name of the club admin who made the change, so the team’s coaches and the parents and adult players who follow a player on it see it there and, if they turned notifications on, on their phone.
- To bill clubs that choose the club plan, through Stripe, and to know whether a club’s plan is running.
- To let a club bill its families its fees, take their payments through Stripe and keep its books, and to email a player’s parents (or the adult player) about a fee when the club opens it or sends a reminder.
- To keep accounts and the service secure, and to prevent abuse.
- To answer your questions and requests.
- To fix problems and improve ClearSoccer.
We don’t sell personal information or share it for targeted advertising, and we don’t use information about children for marketing. Messages are used only to deliver them: never for ads, never sold, and never used to train AI.
5. Who can see what
- A team’s coaches see everything about their team. If the team belongs to a club, the club’s admins can see and change it too, including family contacts, ratings and coach notes. Neither sees who a family invited to follow a player, only how many.
- Clubs a team isn’t in yet: when a coach asks a club on ClearSoccer to add their team, that club’s admins see only the team’s name, age group, gender, season and league, the head coach’s name and the asking coach’s email, never its players, games or stats. When a coach names a club that isn’t on ClearSoccer yet, the admins of a club later set up under that name (or a name the typed one starts with, like “Dayton” for “Dayton United”) see only the team’s name, age group, gender, season and league and the head coach’s name, and the team is only linked if the head coach says yes.
- Once a team is linked (its head coach and a club admin have both said yes), the club’s admins can see and change everything on it, like the club’s other teams, including family contacts, ratings and coach notes. The head coach keeps coaching it and can take it out of the club; the club can remove it too, but only its head coach can delete it. Once it is out of the club, the club’s admins stop seeing it.
- Parents, guardians and adult players who follow a player see that team’s games and lineups, teammates’ names, numbers and photos, and goals during a live game with who scored and who set it up, and the shout-outs sent during it (not who sent them). They don’t see family contacts, ratings (from games or practices), stats, practice plans or attendance, coach notes, what coaches answer about how a goal happened, or anyone else’s notes for the coach: a note for the coach is seen only by the team’s coaches (and its club’s admins) and the person who sent it.
- Family followers see that player’s games and positions, whether the player is coming, the team’s lineups with teammates’ names, and the score of a live game with who scored and who set it up, and its shout-outs. They don’t see teammates’ photos, family contacts, ratings, stats, practices, coach notes or notes for the coach, and they can’t answer for the player, mark goals or send shout-outs. The parent (or adult player) who invited them sees who they are and can remove them at any time; the player’s other parents see only how many.
- Chat: a team chat is seen by the team’s coaches and the parents and adult players who follow a player on it, and, when the team is in a club, by the club’s admins, who can write in it too. A chat between two people is seen only by those two. A chat with a club is seen by you and every admin of that club, who answer for the club. A club’s announcement goes to the people it picks (parents and players, coaches or team managers of some or all of its teams), each in their own chat with the club, so replies reach only the club’s admins. People in a chat see each other’s name and photo, or a role like “Josh’s parent” when no name is set, never an email address. Family followers don’t see or join chats. A team’s coaches and its club’s admins can delete messages in the team chat, and a club’s admins in the club’s chats.
- Share links: a coach can share a game’s lineup by link. Anyone with the link can see the lineup with players’ names, the team’s logo and the coach’s name and photo, but never players’ photos. Search engines are asked not to list these pages.
- Tryouts: a club’s admins and the coaches it puts on a tryout see who is trying out; see Tryouts for exactly what each sees.
- Club fees: a club’s admins see every fee they billed, each player’s amount, discount and payments, and the emails of the player’s parents (or the adult player) who can pay it. A player’s parents (or the adult player) see that player’s fees and their payments. Coaches and family followers don’t see fees or payments.
- Other teams on ClearSoccer: a team that played yours may be asked “Is this you?”. They see your team’s name, division and league, and the date, time, field and home/away of the games you played each other, never scores, players or coaches.
- A club’s website: a club can put a public website online (such as yourclub.clearsoccer.com). Anyone can see it and search engines may list it. Besides what the club’s admins put on it, it shows the names, age groups, seasons, leagues, colours and logos of the club teams the admins choose, those teams’ upcoming games (date, time, place, opponent and home or away) and, only if the club turns it on, their scores; the club’s fields; and its open tryouts with their sign-up link. It never shows players’ names, photos, numbers, stats or ratings, coaches’ names, family contacts, notes or anything else from inside a team, and it sets no cookies. A club should only put photos on its website that it has permission to share; until it puts the website online, only its admins can see it.
- Service providers who help us run ClearSoccer (section 6).
- When the law requires it: we may disclose information to comply with the law or a valid legal request, or to protect the safety of a child or anyone else.
- If ClearSoccer changes hands: if we merge with or are acquired by another company, information may move with the service, and this policy will continue to apply to it.
6. Service providers
We use a small number of companies to run ClearSoccer. They handle information only to provide their service to us:
- Amazon Web Services hosts our database.
- Cloudflare stores and delivers photos and logos.
- OpenAI reads the pictures of schedules and rosters a coach chooses to import “from a photo”, to fill in the games or players. We send only the picture and the team’s name, ask OpenAI not to keep the request, and don’t store the picture ourselves. OpenAI doesn’t use it to train its models.
- Stripe processes club plan payments and the club fees families pay online. When a club admin subscribes, we send Stripe their email address and the club’s number in ClearSoccer. When a club sets up online payments, we send Stripe the admin’s email address and the club’s name and number, and Stripe collects the club’s business and bank details itself. When a family pays a fee, we send Stripe the payer’s email address, the club’s name, the fee’s name, the player’s name and the amount, so the payment and its receipt say what it is for. Stripe collects the card details itself, under its own privacy policy. From Stripe we keep only what section 3 lists under “Club plan” and “Club fees”.
- Apple, Google, Mozilla and Microsoft carry chat notifications to the phones and browsers where you turned them on, through the push service your browser uses. Each notification is encrypted so only your device can read it; the push service sees only that one is going to that device, and when.
- Our hosting and email providers run our servers and deliver invite, sign-in and club announcement emails.
Calendar and league sites you connect are separate services with their own privacy policies. We read schedules from them; we don’t send them your team’s information.
7. Tryouts
A club can run its tryouts on ClearSoccer. This is how that works:
- Signing up: the club shares a sign-up page (a link or a QR code on a flyer). A parent or guardian fills it in and confirms that they are the player’s parent or guardian, at least 18, and agree to this policy. We record when they agreed. We ask for the player’s name, the positions they like and their last team, and the parent’s name, email and phone (optional). We never ask for a birthdate, address, school or medical information. The club can also add players itself, including players already on its teams.
- Who sees it: the club’s admins see everything about their tryout. Coaches the club puts on the tryout see the players’ names, numbers, positions and last team, the coaches’ ratings and notes, and the picks, but not the families’ emails or phone numbers. For a player already on one of the club’s teams, they also see that player’s games and stats on those teams this season, never that team coach’s skill stars or notes. Families never see ratings, notes or other families’ sign-ups.
- Tags: each player gets a number and a printed tag with a QR code. The code holds only a random link that opens the player for the tryout’s coaches. It doesn’t contain the player’s name, and the tag shows a first name only if the club chooses to print it.
- Ratings: coaches rate what they see at the tryout (for example ball control or passing, 1 to 5 stars) and can add a short note. Coaches are asked to keep notes about soccer only. The club, not ClearSoccer, decides who is picked.
- Emails: the parent gets an email confirming the sign-up. The club can then email the families about the tryout, for example a reminder or the results. Replies go to the club person who sent it. We don’t use these addresses for anything else.
- Joining a team: when a player is picked, the club can add them to the team’s roster with the family contact, and invite the parent to follow the team on ClearSoccer.
- How long: once the teams are picked the club can archive the tryout, and we archive it automatically 30 days after its last day. Archiving erases the families’ contact details of players who didn’t join one of the club’s teams, and each coach’s ratings and notes; each player’s number, name, final score and pick stay, so the club has a record. Archived tryouts are deleted a year after that. The club can also remove a player or delete the whole tryout at any time. A parent can ask the club, or us at [email protected], to remove their child from a tryout.
8. Children’s privacy
ClearSoccer is used by adults to coach and follow youth teams. Children do not create accounts, and we don’t knowingly collect personal information directly from children under 13.
Information about a child, such as their name, photo, positions and game stats, is added by the child’s coach, club or parent. We keep it to what a team needs. When a photo is uploaded, we resize it and remove hidden details such as the location where it was taken.
Coaches and clubs must have permission from a child’s parent or guardian before adding the child’s information or photo (many leagues collect this at registration). A parent or guardian can ask us at any time to see, correct or delete their child’s information: write to [email protected]. We will check that the request comes from the child’s parent or guardian before acting on it, and we may let the team’s coach know.
9. How long we keep information
- We keep information while the account or team it belongs to is active.
- A tryout is archived automatically 30 days after its last day, which erases the families’ contact details of players not on a team and the coaches’ ratings and notes, and deleted a year after that, or sooner if the club deletes it (see Tryouts).
- A save from the free tools is deleted when nobody has saved it again, opened it or added it to an account for a year. Once added to an account, it is deleted with that account.
- When a parent stops following a player (for example, a coach removes them), the family followers that parent invited stop following too.
- Chat messages are kept while their chat is in use: a team’s chat is deleted with the team, and a club’s chats and announcements with the club. When a coach or parent leaves a team, they can no longer open its chat. Deleting a message removes its text at once, for everyone; the chat shows “Message deleted”. When an account is deleted, the messages it wrote stay in their chats, shown as from a “Former member”, so the conversation still makes sense to the others; its own chats with clubs are deleted.
- A phone’s notification details are deleted when you turn notifications off or sign out on it, when its push service tells us it no longer takes notifications, when someone else turns them on there, and with your account.
- Deleting a practice deletes its plan, attendance and ratings.
- A club’s fees and payments are its financial records: they are kept while the club is on ClearSoccer, including the name of a player the club billed after they leave its teams, and deleted with the club. A fee nobody has paid toward can be deleted by the club’s admins at any time.
- A club’s website stays online until its admins take it offline. They can change or delete its events, photos and sponsors at any time; the website, its events and its pictures are deleted with the club.
- When a coach removes a player from a team, the team’s records for that player are deleted, including their practice attendance and ratings. Once a player is on no team, their name, photo and family contacts are deleted too. Deleting a team deletes its games, practices, lineups, stats, ratings, pictures and plays.
- To delete your account, write to [email protected]. We will delete your account and the information only you can see within 30 days. Information that belongs to a team (such as stats a coach recorded) stays with the team.
- Copies in our backups are removed as those backups expire.
- We may keep some records longer where the law requires it, or to resolve disputes and prevent abuse.
10. Your choices and rights
- You can change your name, photo and password on your Account page. Coaches can edit or remove anything they’ve added for their team. Parents can see and remove the family they invited to follow their child on the My family page. You can delete a message you wrote in a chat at any time, and mute a chat (which also stops its notifications). Chat notifications are off until you turn them on; you can turn them off again in your phone’s or browser’s settings, or by signing out on that phone.
- You can ask us for a copy of your information, to correct it, or to delete it, by writing to [email protected]. We answer within 30 days.
- Depending on where you live (for example, California or another US state with a privacy law), you may have further rights over your personal information. We honour these requests for everyone, and we won’t treat you differently for making one.
11. Security
ClearSoccer uses encrypted connections (HTTPS), stores passwords only as secure hashes, keeps invite links as one-way fingerprints, and limits each team’s information to the people the team gives access to. No service can be perfectly secure, so please use a strong password and keep it to yourself. If you find a security problem, tell us at [email protected].
12. Where information is stored
ClearSoccer is run from the United States, and information is stored in the United States. If you use ClearSoccer from another country, your information will be handled in the United States.
13. Changes to this policy
If we change this policy, we’ll post the new version here and update the date at the top. If a change matters to how your information is used, we’ll let you know in the app or by email before it takes effect.
